I find it extremely helpful to have your budget available in your starting process of any event as it is your blueprint that guides every activity at all times. No event will ever be successful if there are money constrain because of poor planning. I do believe very few events have ever been successful if the budget was not managed correctly. No matter the success in other areas!

Checklist: - Start with a “think team” people that will have an interest and understanding of the event you’re planning. This team doesn’t have to be a part of the event; they’re just there to lend their expertise and help you think about things you probably wouldn’t think about. It’s great to have someone who’s done an event similar to what you’re planning; to be a part of that team. - I don’t agree with the turnout is the measure of success. If it’s a dream event you’ll need to put that far out your mind, because most things aren’t understood straight away. Find a way to measure the success of this event from the beginning and what you want this event to accomplish before the turnout. - Debriefing is key! Talk about everything afterwards.

Understand the OBJECTIVE. What is the theme? Pick an item, and center the event off of that. If you have too many items, it becomes distorted and less put together. Nothing is perfect... pivot when necessary.

Analysis is an essential step towards achieving a plan goal,it's an avenue to map an entire project to prosper and accomplishment to be on a safer side, instead of engaging without an ideal know-how.

I’ve found it helpful after establishing the goals and visions by stakeholders is to mock a “run of show” to encapsulate all needs. This vision allows people to immerse themselves in the day of event experience. It also allows modifications to flow more efficiently without too many hiccups when conflicting ideals, or changes arise.

Creativity in business is extremely important. Gone are the days of the dinosaurs where we had to have limited thinking patterns and could only do things one way because your manager told you that’s how it’s done. My parents taught us from a very young age that it’s not what you know but who you know that might make a difference in your life one day. So with saying that make use of your community and help one another make events successful and reach a wider audience in the process.

As an event planner, I’ve learned that creativity isn’t just for artists; it’s a vital and essential tool, especially for solving problems. When faced with a challenge, thinking outside the box often leads to the most effective solutions. By thinking outside the box and embracing creativity in problem-solving, we can turn obstacles into opportunities, ensuring the events are not only successful but also meaningful and impactful for everyone involved. For example, budget constraints can seem like a significant hurdle, but they also present an opportunity to get creative. Like partnering with local businesses for sponsorships and contributions can solve budget issues and add value through community involvement.

A clear and clean solution is the dream of all project planners (irrespective of profession). A creative solution is an accomplishment. It needs to be design,initiated and implemented.

Partnering with similar businesses that have the same outlook or theme interest will elevate your event hands down. Find creative ways to partner with organizations or vendors that align with your goals. This not only creates a thread for your vision but gains additional resources that share the common goal and passion for the outcome. Nothing is better than working with like minded individuals who share the same tenacity and drive for the success of your event.

En mi experiencia, si se tiene que recurrir a búsqueda de empresas para patrocinios o contribuciones en especie, es de vital importancia que sean empresas con experiencia en ese rol para que entiendan que si "sponsorean" un coffeee-break con vasitos de su marca, café de su marca o galletitas de su marca, es impresindible calcular de más siempre la cantidad del servicio. Esto a veces es complicado de gestionar porque si se sponsorea un servicio de 300 refrigerios y luego solo asisten 80 personas, es una pérdida, no una inversión.

An open line of communication at all times is one of my favourite saying when working with vendors and staff, we can only make things run smoothly if we are all on the same page. And if we run into problems during an event we can do damage control more effectively because we all know what the overall goal is.

La comunicación entre organizador-cliente y organizador-proveedor idealmente debería ser con un solo referente de cada parte. Luego internamente cada equipo puede estar compuesto de varias personas pero el canal de comunicación es ideal reducirlo al minimo para evitar malos entendidos.

Ter uma comunicação rápida e fluida entre os membros de uma equipe é fundamental para o sucesso do evento. Para que isso seja possível, é necessário que os papéis estejam muito bem definidos, que cada um entenda suas responsabilidades, reconheça seus pares e quem lidera cada parte da operação. É dessa forma, em cadeia, que as decisões devem ser tomadas e comunicadas. O organizador evento é o centralizador das informações, ele conhece tanto os detalhes do evento como um todo, como o perfil do cliente e pode dar soluções mais assertivas visando aquilo que o cliente deseja que aconteça.

It is always a good idea not to over extend the venue. COMMUNICATION with vendors and peers is always helpful. Not just communicate, but do so effectively to ensure that we ALL understand the time sensitivity of the task at hand.

When you save time you create more time to plan and execute. Without time management it's difficult to multitask or develop multitasking ability.

Being prepared is a key element in planning. Identify the end results needed and stay well organized. Clear, concise communication throughout the process with all stakeholders including options such as low, mid and high priced conference, events and meetings allow for quicker decisions and ease of planning for your team. Encourage people to use their imagination and dream of what their perfect event looks like. Listen openly and don’t be afraid to dream! Put yourself in an attendee view ahead of the “real” event to make the experience unforgettable with the goals of the event at the forefront. Know the strengths of your team and delegate relevant tasks or sub projects to the correct team member with clear deadlines in place.

Un cronograma con vencimiento de tareas es indispensable para tener un seguimiento visual del progreso de la organización del evento. Hoy en día se hacen digitales en aplicaciones como MURAL y se comparten con permiso de vista a todos los involucrados.

A gestão do tempo deve ser levada muito a sério tanto no pré, quanto durante o evento. Perder prazos na organização do evento pode gerar atrasos nas entregas de fornecedores, faltar tempo para alterar o projeto, etc. Já durante o evento a atenção é redobrada, deixar sua equipe ciente e preparada para manobras no cronograma é essencial para que o cliente avance sem ser afetado. É muito importante ter conversas estratégicas com o cliente sobre o tempo que sua operação precisa para realizar cada etapa, fazendo com que ele entenda o funcionamento da máquina e se adapte também a essas necessidades. Manter o controle do cronograma é essencial e a comunicação e programação é a chave para ter esse controle.

It is Always a good idea to have a plan B in your back pocket. Be PREPARED. Again, nothing is Perfect.. Something WILL stray from what you planned, make it seem seamless to the guests. Stay focused and confident.

In my experience, effective problem-solving in event planning means conducting a thorough risk assessment early to help identify potential issues like technical failures, last-minute speaker cancellations, a potential overcapacity problem, or emergency protocols in case of an active shooting. Nothing is perfect, and unexpected challenges could happen. It’s always a good idea to have a plan B in your back pocket. By being prepared with contingency strategies, I can handle any situation calmly and confidently, making adjustments seamless to the guests and keeping the event on track.

If you don't risk it (yourself, time and resources) it's hardly you know the worth of your engagement. A calculated risk is a half way achievement.

I’ve found it helpful to identify issues ahead to ask questions and role play “what if” scenarios. “How would you handle if this were to happen?” Not being caught off guard and being well prepared is a safety net you won’t regret!

In my experience never underestimate the power of a team and never fault anyone instead identifying and solve as a team. For example when you have so much to do always look for the strength in your teammates and appreciate them respectfully with specific instructions to the end result.
